Location: Oaks Community Church – The Shop, Elm Farm Road
Hours: 12 hours per week (some flexibility; Thursday mornings required)
Salary: £13.00 per hour (paid monthly)
Reports to: Church Leader

Role Overview

Oaks Community Church is seeking a gifted, experienced, and skilled Administrator / Centre Manager to support the life and ministry of our church. This part-time position will be central to the effective day-to-day running of our church operations and the management of our community-facing retail space, ‘The Shop’.

The role combines practical administration with leadership and community engagement. Working closely with the church leader and trustees, the post-holder will supervise and facilitate the church’s operations and be a key point of contact within the church and the wider community.

Key Responsibilities

Administration & Office Management

  • Provide general administrative support to the church leader and trustees
  • Administer the church diary and support scheduling of meetings and events
  • Maintain accurate records of church operations and manage statutory documentation
  • Oversee office supplies, equipment, and maintenance needs
  • Manage petty cash and contribute to basic financial tracking
  • Ensure the church office and shop spaces are clean, safe, and operational
  • Manage incoming communications (post, email, phone) with professionalism and care
  • Keep internal and external noticeboards tidy and up to date
  • Assist with church communications including weekly bulletins and email newsletters
  • Contribute to maintaining and updating the church website and social media presence

Centre Management – ‘The Shop’

  • Oversee the day-to-day running of the church’s shop and coffee space
  • Lead and support the team of volunteers currently involved in shop operations
  • Recruit, train, and motivate new volunteers for the shop and related ministries
  • Ensure compliance with health and safety standards, and create a welcoming environment
  • Promote and run at least one community-focused project within the shop
  • Provide support and coordination for other community initiatives taking place at the shop
  • Act as an ambassador for the church’s ministry in and through The Shop

Premises & Lettings

  • Manage bookings and lettings of the church premises
  • Liaise with users, ensuring spaces are prepared and well-maintained
  • Provide support for occasional events, including some evening or weekend commitments

Person Specification

Essential

  • Proven administrative experience, ideally in a church, charity, or office environment
  • Excellent organisational skills and the ability to manage multiple responsibilities
  • Strong interpersonal skills and a confident, friendly manner
  • Computer literacy (email, word processing, spreadsheets, online platforms)
  • Self-motivated and able to work both independently and collaboratively
  • Ability to handle confidential information with discretion
  • Committed Christian, aligned with the vision and mission of Oaks Community Church

Desirable

  • Experience in volunteer management or community project leadership
  • Knowledge of health and safety and safeguarding best practices (training can be provided)
  • Familiarity with church operations or community outreach environments
  • Design or communications skills

Working Environment and Support

  • The role will be based at The Shop on Elm Farm Road.
  • While hours are part-time and flexible, Thursday mornings are essential.
  • Occasional evening or weekend work may be required and will be agreed in advance.
  • Holiday leave and other absences should be arranged with the Church Leader.
  • Regular supervision, support, and opportunities for training and development will be provided.
