Client Snapshot: I’m currently recruiting on behalf of a well-established and highly respected housing organisation that provides accommodation and support services to young people across the West Midlands. Their services combine high-quality housing with support to help young people move towards independence, and their Property Services team plays a vital role in ensuring that homes are safe, well maintained, and compliant. Due to long-term sickness within the team, they are now seeking a Planned Maintenance Administrator to support their Assets and Property Services team with managing property data, contractor coordination, and planned maintenance programmes. Vacancy Brief: * Role: Planned Maintenance Administrator * Contract: Interim – covering long-term sickness * Hours: 30 hours per week * Working Pattern: Tuesday – Friday, 9am–5pm * Location: Office-based – Digbeth, Birmingham (B9) * Sector: Social Housing / Property Services * Pay Rate: £13.20 PAYE Or £17.00 Umbrella Duties & Responsibilities: * As a Planned Maintenance Administrator, you will: * Provide administrative support to the Assets and Capital Projects Manager and wider Property Services team. * Maintain and update asset management and stock databases, ensuring property data and maintenance records remain accurate. * Support the coordination and administration of planned and cyclical maintenance programmes across housing stock. * Assist with the procurement and administration of contractor works and service contracts. * Monitor contractor performance, compliance documentation, and servicing schedules. * Produce reports relating to maintenance performance and compliance activities. * Provide general administrative support including diary management, document management, filing systems, and meeting minutes. * Liaise with contractors, colleagues, and internal teams to ensure maintenance work programmes run smoothly. * Support the Property Services team with record keeping, reporting, and performance monitoring. Ideal Candidate: * Experience working within a busy administrative role, ideally within property services, housing, or construction environments. * Strong working knowledge of Microsoft Office (Excel, Word, Outlook). * Excellent organisational skills with the ability to manage multiple administrative tasks. * Experience working with property databases, asset management systems, or contractor information is desirable. * Strong communication skills and the ability to work collaboratively within a small team. * Detail-oriented with the ability to maintain accurate records and compliance documentation.
